Privacy notice

PCP Dental Recruitment is the trading name of Primary Care Point Limited (company number 09771178, ICO data protection registration number ZC250563). We are the data controller for the information held in this app. You can contact us at accounts@pcpdentalrecruitment.co.uk.

• Your name, email address, phone number, address, date of birth and any notes you add to your profile.
• The dental specialties you tell us you are comfortable working in, so we can match you to suitable shifts.
• Your payment details (bank name, account holder name, sort code and account number) and tax references (National Insurance number and, if you are self-employed, your UTR). These are stored securely, visible only to you and our agency team, and are used solely to pay you and to meet our statutory HMRC obligations.
• Timesheets you complete: the practice, date, hours, breaks, notes, your signature and the signature of the practice representative who authorised the shift.
• Compliance documents you upload, such as your CV, passport, right to work confirmation, GDC registration, indemnity, DBS check, immunisation record, CPD records, certificates and references.
• A record of when a compliance document is opened, and by whom.

Some of this is special category or criminal offence data (immunisation records and DBS checks). We only collect it because we are required to confirm you are fit to work in a dental setting.

• To place you in shifts and to pay you for them (performance of our contract).
• To meet our legal and regulatory duties as a dental staffing agency, including verifying identity, right to work and professional registration.
• To establish, exercise or defend legal claims if a shift is later disputed.

Only PCP Dental Recruitment staff can see your compliance documents and approve them. Other nurses cannot see anything of yours. Client practices are not given access to your documents through this app; where a practice needs to confirm your compliance, we handle that ourselves. Documents are stored in private, encrypted storage and every access is logged.

We keep your records for six years after your last assignment with us. This matches the usual period in which a contractual or employment claim can be brought, and means we can still evidence that you were properly vetted for a shift that has already taken place.

You can ask us for a copy of the information we hold about you, ask us to correct anything that is wrong, or object to how we use it. Email accounts@pcpdentalrecruitment.co.uk and we will respond within one month.

You can also ask us to delete your information. We will do so where we can, but we may refuse where we still need the records to meet a legal obligation or to defend a legal claim — UK GDPR allows this. Compliance documents supporting shifts you have already worked normally fall into that category, so they cannot be deleted on request until the retention period above has passed. We will always explain our decision.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Access to the app requires an account, and accounts are issued by invitation only. Documents and signatures are held in private storage that cannot be reached by a public link. Passwords are checked against known data breaches when you set them.
